Card Swipe
Using Card Swipe at Your Events

Before your event:
  • Create an event on OrgSync
    • Log onto OrgSync using your CougarWeb credentials: https:orgsync.com/home/722
    • Navigate to the correct portal by typing the following into the top search bar: "Collin College Events"
    • Click "Events" on the white toolbar
    • Click the green "Create an Event" button on the right
    • Complete all fields within the event form
    • Click "Submit"
  • Secure your Staffing
    • It is the event host's responsibility to provide staffing for the event check-in.  Ensure each staff member watches the card swipe training video.
      • Note: If you will utilizing your Student Assistants, contact Student Life so the students can be added to the portal.

      • Student Life encourages you to watch the training video well in advance of your event, so we may troubleshoot with you if needed.
    • Ask each staff member to log onto OrgSync and ensure they have access to the event participation too (see instructions in video).
  • Obtain your Supplies
    • Laptop computer with a USB port
    • Access to internet (wireless or Ethernet)
    • 1 card reader per laptop
      • Card readers have a twenty-four (24) hour check-out policy (i.e. they get checked out by 9:00 a.m. on Tuesday to be returned by 9:00 a.m. on Wednesday), as multiple student organizations and offices wish to use them.
      • Card readers may be checked out from Student Life at CPC, PRC, or SCC.
    • Test your event card swipe by using your own Collin College ID.
      • If you have difficulty testing the event, contact Student Life during business hours for assistance.
      • Student Life will not be available to troubleshoot after office hours.

During your event:

  1. Set up your computer/laptop at the event
  2. Log onto OrgSync: https.//orgsync.com/home/722
  3. Navigate to the correct portal by typing the following into the top search bar: "Collin College Events"
  4. Click "Events" on the top, white toolbar
  5. Locate your event in the list and click on the title
  6. Click "Participation" in the grey box on the right
  7. Plug the cardswipe into your computer's USB port
    • The cardswipe light will turn green when it is ready
  8. Click "Turn on card swipe"
    • You will be prompted to choose if participants will be swiping in only or if they will be swiping in and swiping out. 
  9. Click "Save Card Swipe Settings"
  10. Test the cardswipe with your own ID to ensure it works!
  11. Once you are finished swiping, click on the "I'm Done Swiping" button on the top, right

Important Notes:

  • You may have multiple cardswipes working on the same event simultaneously.  They each must be plugged into their own computer.
  • Cardswipes do not currently work with iPads or tablets.
  • The participation tracking tool only works with current Collin College students, faculty or staff.
  • If a student forgot their ID card, you can manually enter them:
    • Click the green "Add Participants" button on the top, right
    • Choose "Full Community"
    • Enter the student's name and click on the correct one
    • Click the green "Save" button below

After your event:

  • Return card readers to Student Life within 24 hours of the original check-out time
  • Export your event participation to an Excel spreadsheet
    • Log onto OrgSync: https://orgsync.com/home/722
    • Navigate to the correct portal by typing the following into the top search bar: "Collin College Events"
    • Click "Events" on the top, white toolbar
    • Click "Past" on the top, right to view past events
    • Locate your event in the list and click on the title
    • Click "Participation" in the grey box on the right
    • Click "Export Participation" in the grey box on the right
    • The Excel file will download to your computer's browser right away
