Facilities

Collin College is more than just an institution for affordable, accessible education. We also serve the community by offering conference facilities, event spaces, meeting rooms, lecture halls, and classrooms for rent. Reservation fees vary depending on profit/non-profit status and availability. Professional on-site catering services through Collin College Catering Food Services and audio/visual services are available. Most centers feature excellent spaces for both small and large events such as banquets, lectures, organizational meetings, and workshops.

Reservation Guidelines

Reservations may be made up to:
  • One year in advance for Conference Centers, four months in advance for classrooms.
  • Reservations are not available on Sundays.
  • Event Request Forms must be submitted at least ten (10) days in advance.
  • Long-term reservations are not permitted (i.e., five days per month or three weekends per month).
  • Employees must follow internal event request procedures.
Approval of an event is contingent upon:
  • Compliance with facility use guidelines
  • Availability of the requested space and equipment/labor resources
  • Approval by the Campus Provost
  • Scheduling within the operating hours of the campus facility

Rental Policies and Requirements

Permitted Uses

  • Non-profit organizations may reserve Collin College facilities for events that comply with College policies and do not include any prohibited uses.
  • For-profit organizations may host the following types of events provided no admission fee is charged:
    • Employee training
    • Educational testing
    • Public meetings
    • Performances
    • Presentations
    • Fundraising activities, only permitted when sponsored by:
      • Civic organizations
      • Educational organizations
      • Student organizations
      • Individuals authorized by the College District

Prohibited Uses

Collin College facilities are not available for:

  • Any Private Events including:
    • Private gatherings sponsored by individuals
  • Commercial Activities including:
    • Marketing activities
    • Selling products or services
    • Profit-generating activities
    • Promotional events
  • Educational & Recruitment Activities including:
    • Private academic instruction
    • Private courses
    • Student recruitment activities*
  • Political Activities including:
    • Political advertising
    • Campaign communications
    • Electioneering activities
    • Petition signature gathering

*Institutions of higher education and third-party organizations may participate in College District-approved transfer and recruitment fairs.

Note: Collin College student organizations should access the appropriate Approval Form on CougarConnect or Ad Astra to request use of Collin College facilities.

To create a contract, the following documents must be submitted:

  • W-9 Form (for-profit organizations), or
  • IRS Letter of Determination confirming 501(c) status (non-profit organizations)
    • Note: Only organizations with verified 501(c) status and government entities qualify for non-profit rates.
  • Certificate of Insurance ($1 million minimum coverage)
    • Note: If minors (18 years of age or younger) will attend the event, Sexual Molestation Insurance ($1 million minimum coverage) is also required.

All print and digital flyers/advertisements cannot show images of a Collin College campus or prominently display the Collin College name. Please display your event location as noted in the example below. The font size of Collin College should be the same font size as the address.

  • Outside/Personal food and drink are not allowed.
  • If Collin College Catering is not available for your event date, America To Go is our secondary catering source (Conference Services will set up an account for you).
  • Tablecloths are $10 each and can be reserved through the Catering Department if they are providing the catering for your event.
