HR Data Management

HR Data Management Department maintains accurate employee data. 
Our team ensures that your information is handled confidentially and in compliance with all college and data security requirements.
HR Data Management does not maintain student records. Student records are kept in the office of the Registrar.

Our Services for Staff and Faculty:

•         Employee Data Management: We maintain comprehensive employee data, including personal information, Verification of Employment letters, Public Service Loan Forgiveness forms (PSLF), Teaching Service Records and more.

 

•         Official Transcripts: Collin College accepts only official transcripts sent directly from the issuing institution to Collin Higher Education Center; HR Department. Please send all transcripts to HR_transcripts@collin.edu. Transcripts and other applicable licenses/credentials must be received no later than 30 days from the date of hire. •        Certification/License: Certifications and license can be submitted via Workday by going to the employee personal tab.

 

•        Faculty Educational Increase: Full-time Faculty who have completed advanced degrees 24 or 48 hours above a Masters degree or completion of a doctorate will need to request an official transcript to be sent directly to Vernita Williams. All transcripts will be evaluated and sent to compensation for review.

 

•        Employee Personal and Demographic Changes: Workday provides self-service for employee updates. Please update all personal information such as address, phone number, emergency contact etc. in Workday.

 

•         Name Change: Legal Name Change request can be submitted via Workday and requires an official Social Security Card to be submitted with the Workday request.

 

•         Workday Account Integration Errors/Troubleshooting: The collaboration between HR Data Management and the Help Desk is effective in resolving difficulties and guaranteeing employees' access to pertinent information inside their Workday accounts. To address any account-related concerns, kindly access this link to begin the process of creating a support ticket.

 

•        Multi-Year Contract (MYC): HR Data Management will have the MYC application packets organized, audited, and available for review by COE. HR Data Management is responsible for contacting academic/workforce deans regarding any missing materials and will ensure items are received and placed in MYC packets prior to COE review. •        Faculty Credentialing Inventory Form (FCI): Upon receiving notification of the finalization of a complete (FCI), HR Data Management services as a verification checkpoint to ensure that
official transcripts/certifications have been received in HR. For account issues contact Jeramie Hicks.
